This Privacy Notice explains how ChildcareHub Ltd ("ChildcareHub", "we", "us", "our") collects and processes personal data from childcare operators, parents, and other website visitors when you use our services at childcarehub.co.uk.

ChildcareHub is responsible for the personal data we collect and process for our own purposes. We are committed to maintaining its security and privacy in accordance with UK GDPR and the UK Data Protection Act 2018.

1. Who We Are

ChildcareHub Ltd is the data controller for personal data processed through this website. For questions, requests, or complaints about how we handle your data, please contact us at hello@childcarehub.co.uk.

2. What Personal Data We Collect

The data we collect depends on how you interact with ChildcareHub.

Parents and Website Visitors

  • Enquiry data: when you contact a nursery through ChildcareHub we collect your name, email address, phone number, and the content of your message, which we share with the provider you are contacting.
  • Usage data: your IP address, browser type, pages visited, and session identifiers collected automatically via cookies and analytics tools when you browse the site.

Childcare Providers

  • Account and contact details: your full name, work email address, phone number, and job role provided when you claim or manage a listing.
  • Listing information: nursery name, address, postcode, phone, website, and any other content you add to your profile.
  • Billing data (Premium): invoicing details processed securely via Stripe. We do not store full card numbers.

All Users

  • Technical data: IP address, browser type, device type, and session data collected as part of normal platform operation and security logging.

3. How We Collect Data

  • Directly from you: via forms on the site (enquiry forms, the claim listing form, account settings).
  • Automatically: cookies, analytics, and server logs when you browse our pages.
  • From public sources: nursery name, address, and regulatory details from the Ofsted register and Care Inspectorate Wales (CIW) database.

5. Sharing Your Data

Nurseries (parent enquiry data)

When you submit a parent enquiry, your contact details are shared with the nursery you are contacting so they can respond. The nursery becomes an independent data controller for data they receive this way.

Sub-processors

We use the following trusted service providers to operate the platform:

  • Supabase Inc. — database and authentication (EU-hosted)
  • Vercel Inc. — platform hosting and edge delivery
  • Stripe Inc. — payment processing for Premium subscriptions
  • Google Analytics — anonymised website analytics

All third parties are required to process data only on our instructions and to keep it secure.

We do not sell personal data to any third party. We may disclose data to regulatory or law enforcement authorities where legally required.

6. How Long We Keep Data

  • Parent enquiry data: retained for up to 12 months then deleted.
  • Provider account data: retained while the account is active, then for 6 months after closure.
  • Billing records: retained for 7 years in line with HMRC requirements.
  • Analytics data: aggregated and anonymised; retained for up to 26 months.

7. Your Rights

Under UK GDPR you have the right to:

ChildcareHub does not make automated decisions that produce legal or similarly significant effects about individuals.

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or destruction. Access to personal data is restricted to those who need it to perform their role.
